Customer Orders

In this article, you will learn how to review your order history, filter orders, open order details, understand statuses, make allowed quantity changes, and export confirmations.

Before You Start

Open My Orders. Orders appear after checkout or after a standing order creates a weekly order.

Find Orders

  1. Open My Orders.
  2. Filter by Farm when you want orders from one farm.
  3. Filter by Status to focus on pending, confirmed, rejected, cancelled, processing, or completed orders.
  4. Filter by Type to separate regular inventory orders from standing order orders.
  5. Filter by Arrival Date or Order Date for a specific time period.
  6. Search by order number when you know it.
  7. Select Clear Filters to return to the full list.

Order notifications open the order they name. Selecting a Weekly Standing Order Created notification, for example, opens that week's order directly, whatever filter or page your list is on.

Review Order Details

  1. Select View Details on the order.
  2. Review the order number and status.
  3. Check your PO reference when you entered one at checkout.
  4. Check farm, arrival date, product list, quantities, prices, subtotal, and total.
  5. Check the mark on each line when one was given — this is the label the farm prints on that line's boxes.
  6. Review notes or notification information when shown.
  7. Return to My Orders when you are done.

An order created by a standing order lists the products that standing order was confirmed for. Those lines stay as they were confirmed: if the standing order is edited afterwards, the change applies to future weeks and does not alter an order that has already been placed. The order total is fixed at the same moment and is the amount the invoice was issued for, so the figure on the order and the figure on the invoice are always the same. That stays true if the order is later cancelled: a cancelled order still shows the lines and the total it was invoiced for, with its invoice voided. Standing order lines carry no farm, because they do not come from a farm's inventory list.

Modify Quantities When Available

Some orders can be changed for a limited time.

  1. Open View Details.
  2. If Modify Order is available, select it.
  3. Increase or decrease quantities.
  4. Review warnings about availability or totals.
  5. Select Save Changes.
  6. Confirm the updated details.

If Modify Order is not available, contact your sales or operations contact for help.

Export A Confirmation

  1. Open My Orders.
  2. Select one or more orders.
  3. Choose Export.
  4. Select PDF Confirmation.
  5. Save the file for your records.

The confirmation lists one row per line with its product, farm, variety, size, packing, mark, quantity, unit price, and total. The mark is the box label sent to the farm for that line, so the saved confirmation can be used to check which mark belongs on which box.

If you gave a PO number when you placed the order, it appears in the heading alongside the order number and dates, so the saved confirmation matches the reference your accounting uses. Long references wrap onto a second line rather than being cut off. Orders placed without a PO number simply omit the row.

Invoice Emails

When an invoice is issued for one of your orders, replaced by a newer version, or cancelled, you can receive an email about it. The email carries a summary — invoice number, order, PO number, ship-to, the lines and the totals — and a link that opens the invoice in Floral Stock, where you can download the PDF. The document is not attached, so it stays behind the same sign-in as the rest of your account.

These emails are opt-in twice over: your supplier enables them for your organization, and each person then chooses to receive them. If you are not getting them, ask your supplier to check both.

Status Meanings

  • Pending: waiting for review or confirmation.
  • Confirmed: accepted and moving forward.
  • Rejected: not accepted.
  • Cancelled: stopped before completion.
  • Processing: moving through the next steps.
  • Completed: finished according to your team's workflow.
